What is a Task Management?

Task management software allows you to keep track of personal projects. It is a tool to manage your schedule and calendar events, to-do lists, thoughts, progress, and more. You can create tasks and assign them to different categories and sub-categories, check off when you complete them, and organize them with different lists to control your schedule. It’s also a great platform for teamwork.

Monday.com is an open platform work management software that allows users to build the tools they need to operate any element of their work. The visual interface contains building elements such as tasks, projects, and integrations that allow teams to design or personalize their work solutions.

Whether users need to optimize a sales pipeline, develop a marketing campaign process, run a strong CRM, or build a project management tracker, Monday.com strives to provide a collaborative environment for teams to be aligned, flexible, and efficient in all they do.

Task Management on Monday.com – 10 Key Steps

Monday.com allows for tasks to be created online through their website. This is a convenient way to manage tasks so that you can customize the tasks for your needs. 

To create a new task on Monday, open the website on any computer and log in and follow the steps below:

Step 1:

Create a project on Monday.com. You can choose your project template from their template library. I have chosen a Single Project Management template here for example.

Step 2:

Once you choose the template, it will take you to the homepage of your project workspace.

And on the top left corner below the project title, you can find the “New Task” icon.

Step 3:

After you click on the New Task, a pop-up will appear like the image below to create your “task card.” You can name the task

Step 4:

After you create the card, it gets added to your main table view. You can then edit the other elements in your task. Refer to the below for an example.

You can edit the following elements:

  • Owner
  • Status
  • Timeline
  • Duration
  • Dependents
  • Effort

Step 5:

You can also set up group tasks using the same steps. You have to choose the “New Group Task” option to create it. 

This option will help you create a separate tasks section that involves team tasks or multiple tasks for a group of individuals. Ref. Img. Below:

Step 6:

After you create a section of tasks, you can further add more tasks to the table itself without having to repeat them from the beginning. You can also use the shortcut key Shift+Enter to add a new task. Refer to the image below so you can imagine how to perform this step.

Step 7:

You can do the following step to edit your task after it is created.

Open the task which needs to be edited then a pop-up appears on the right side like the image below:

You can edit and check the following items in this section:

  • Task name
  • Updates
  • File attachments
  • Activity log
  • Import/Export
  • Workflow activity

You can also archive or delete a particular task using this section. As you can see in the image below, there is also an option to share the task link if needed. 

Step 8:

Monday.com comes with another feature to edit your tasks.

When you select a particular task using the checkbox it will show a pop-up with options like the image below:

You can use this step as a shortcut to duplicate or copy the tasks, and archive or delete them. Also, you can move them to different groups or boards, convert them to sub-task or various group tasks and you can even export the task using this option.

Step 9:

When you create a project the table comes with default columns and sections based on the template you choose for your project.

If you want to add or customize the task columns based on your preference you can use this step.

There is a “+” in the default column table. Click that and you will be prompted to choose from the list of options that will be categorized as “essentials” and “super useful.” 

Step 10:

If you want to make any changes to your group task you can do so by following this step. You can use this step to change the color of the group task to highlight or categorize them.

There are also options available to collapse and expand the group tasks. You can even rename the group, duplicate them or move them based on your needs. Just follow the reference below.
