A Quick Brief About ClickUp

ClickUp is a cloud-based task management software that allows you to create lists, and subtasks, and assign tasks to individual members of your team. During the process of creating tasks, you can easily prioritize what needs to be done, assign deadlines and estimated hours, and assign watchers to monitor the task progress. It is a great platform for scheduling appointments, assigning tasks within your project, or collaborating with employees on the go.

What is a Task?

Tasks are events that happen in your work as a daily process. The tasks can be temporary or routine or recurring. The tasks can also be individual tasks or group tasks, project stages, and collective tasks.

What is a Sub-task?

Tasks help you keep track of your professional work. You can assign a sub-task to each individual to keep track of what the task is, the team assigned to it, when it is required and when it is done. The tasks which are added under the task are called sub-tasks. These sub-tasks are sometimes referred to as action items for the main task.

The 6 Different Ways to Create Tasks in ClickUp

First Method

This is the most easiest and convenient way to “Create a New Task” in ClickUp. Go to the button right corner of your screen and click on “+ Task” and a pop-up will appear for your new task.

Note: If you press “t” on your keyboard when you are on this screen, this new task pop will automatically appear. It’s a shortcut to do this.

Second Method

When you want to keep adding new tasks under one stage or process this is a preferable way to do it. You go click on the “+ New task” below and existing task and mention the name and click on “Save.” Your new task is added to the process.

Third Method

This might look similar to the second method, where you can directly add a new task under the specific stage or process. In this method, you have to first expand your Space on the left side of your screen, then hover over the “burger button” parallel to the space, click on “Create New” and further “+ Task.”

Fourth Method

The fourth method is mainly used when you want to add a quick task or any task to your to-do list. To do so, Click on “+ NEW TASK” parallel to the list info button, type your comments, and click on “Save.”

Usually, tasks created using this method will be added to your to-do list but you also have the option to change the list or category after adding the task.

To do that, click on the task you created and it will expand further. On the top left corner of the task box, you can see the status or the list category. Click on the status and choose the one from the drop-down and it will get saved automatically.

Fifth Method

The above-mentioned methods come with the “List view” whereas this method can be used if you are using the “Board view” for your space.

Click on the “+” button parallel to the title and your new task is added after you “click on save.”

Another method to create a new task in this view is by clicking on the “NEW TASK” button beneath an existing task. This one is similar to the second method in the list view.

Sixth Method

This method is considered an optional or bonus method as it is not commonly used. This method is used only when you want to create a form for your tasks in ClickUp.

Go to “Form” view, while you are in the “editing mode” hover over to the left task field section and click on the “+” icon parallel to the “task name.”

If you want to create tasks using ClickUp templates, go to the top right corner of the board and click on the “settings” button. From the dialogue box, you can choose “Use the template to Create task” to pick the task template for your ClickUp form.

List of Task Elements

Once you are done with creating tasks for your project, it is essential that you add the following elements to your task based on your preferences.

  1. To view the status of your tasks, click on the Status box and change the status. Your task will remain in the Open status if you don’t choose a status.
  1. To include assignees in your task, select the circle-shaped profile button. Changing or removing assignees is also possible by clicking the same profile button.
  1. By clicking the eye icon at the bottom, you can include watchers (aka) viewers in your task. Although they are not allocated to the task, watchers are notified of any task changes.
  1. To give your task a due date, click the calendar button and you can either choose a specific date or period.
  1. By clicking the flag icon, you can communicate the task’s priority to your workspace. Your work can be categorized as urgent, high, normal, or low priority.
  1. To clearly define the purpose of your work, add custom tags by selecting the tag icon. Custom tags are similar to labels.
  1. Using the “Dependents” button, you can add dependencies to already-existing tasks in your workspace.
  1. Utilize the text box to enter a job description and the rich-text editing features available.
  1. To add smaller action items to the task that you must perform within the task, click Add Subtask.
  1. To create a new checklist for the activity or to add one from a template, click Add Checklist.
  1. Attachments can be added directly at the bottom of your task or by drag and drop. Any attachment you add can be renamed, viewed in full screen, downloaded, deleted, or sorted.
  1. Set the task to repeat itself by automizing. The repetition of recurring tasks is triggered or scheduled.

Chris “Simon” Calder was working as a Project Manager in IT for one of Los Angeles’ most prestigious cultural institutions, LACMA. He taught himself to use Microsoft Project from a giant textbook and hated every moment of it. Online learning was in its infancy then, but he spotted an opportunity and made an online MS Project course - the rest, as they say, is history!
